One Telegram account does not make a single shared company
A business owner may use one personal Telegram account to oversee several independent organizations. That does not combine the companies' sales, employee assignments and documents into one database. Every useful management query needs an identified organization, authorized users, an approved source and a defined period. The convenience of a conversation is not a replacement for an access-control policy.
Imagine an owner of a coffee shop, a repair workshop and an online store. Their CRMs, meanings of “order” and “revenue”, and update schedules are different. A question such as “How many overdue enquiries do we have?” without selecting a company can mix incomparable numbers. More seriously, a plausible-sounding answer could expose information to an employee who has no right to see it.
Before an important request, establish four things: which company, which user and role, which authorized source, and which time period. If one element is missing, an assistant should request clarification or disclose that it has insufficient verified data. Guessing a context may feel faster, but it is a poor basis for a real operational decision.
The relationship between a company, its Telegram bot and Mini App
AGENTUM's selected architecture associates each company with a separate working Telegram bot and Mini App context. An owner may belong to several organizations without making a personal account a universal key to all their data. A company context must remain separate when the server retrieves information, not merely while the interface displays a company name.
There are three layers of identity and authorization. Telegram identifies the person using the interface. The platform checks the user's company membership, activation state and role. Finally, an explicitly permitted data source returns the fields that this role may request. Knowing another company's bot link or seeing a button does not by itself grant access; these checks must also operate on the server.
The multi-company model is implemented and deployed in AGENTUM's architecture. However, some real-world Telegram end-to-end onboarding sequences—particularly subsequent bot creation and employee role assignment—still require live verification. Documentation of an architectural contract should never be presented as proof that every customer path has already succeeded.
Permissions: who can read, propose and approve changes
Before connecting a production CRM, define the participants and actions each role is allowed to perform. An employee who needs to view an assigned task does not require access to every financial document in the group. An executive reviewing sales should normally receive only approved fields and periods. A platform administrator helping with activation should not automatically be allowed to read customer business records.
Apply least privilege and check it on every source request. Separately agree on who may create a proposed update and who approves actual changes. An analytical recommendation, a pending action and an executed operation are different states. Treat the matrix below as a planning example; exact available controls depend on integrations and the current company configuration.
Record the source owner, reviewer and audit trail. If a person changes teams or leaves an organization, revoke membership and perform a new negative access test. A visible disabled control is not sufficient evidence that the underlying endpoint rejects an unauthorized operation.
| Role | Typical task | Essential boundary |
|---|---|---|
| Company owner | Review permitted company metrics | Membership, source and reporting period |
| Employee | View assigned tasks | Role and authorized fields |
| Platform administrator | Assist with setup and activation | No implied access to client records |
| AI assistant | Respond using permitted sources | Company context, MCP permissions and action confirmation |
Worked example: two businesses owned by one person
Consider a fictional owner of North Café and Line Repairs. All names and numbers in this example are synthetic test data, not published results from AGENTUM customers. The café's test sheet contains 12 enquiries for one week, including three with no assigned owner. The repair business has eight enquiries, including one without a recorded next step.
In the café's bot, the owner asks: “List enquiries without an assigned owner during the last seven completed days, and tell me where the numbers came from.” A valid answer uses only the café's three records, states the interval, names the permitted source and reports when it was refreshed. It should not include the repair shop's one unassigned enquiry merely because both businesses have the same owner.
The owner then deliberately switches to Line Repairs and repeats the question. Now the assistant should use only that company's permitted information. If an employee of North Café—or someone speaking from its context—asks to retrieve a private record in Line Repairs, a negative permission test should result in denial rather than data leakage. Proving the refusal is at least as important as demonstrating the right count.
For a portfolio-level comparison, first reconcile the meaning of every metric. An “enquiry” at the café may be a form submission, while at the repair shop it may mean a work order already accepted. Do not add unlike events and announce a consolidated dashboard unless a genuinely supported, authorized cross-company reporting feature has been verified for that particular owner.
| Working context | Synthetic enquiries | Missing next action |
|---|---|---|
| North Café | 12 | 3 |
| Line Repairs | 8 | 1 |
| Personal Telegram account | Not a data source | Not a permission |
Ask AI questions that lead to verifiable answers
Compare two prompts: “What's happening with customers?” and “North Café / last seven completed days / enquiries without an owner / authorized sheet / list records and last update, without changing anything.” The second identifies the business, the exact measure, scope and intended action. It gives both the requester and the assistant a repeatable test.
For each report, request five elements: what was found, which permitted source supplied it, the period covered, the source's freshness and what decision might follow. Key figures should be traceable to identifiable source rows or a documented calculation. If the integration is disconnected, the assistant should not fabricate a summary. If it recommends creating a task, that suggestion is not yet a completed task.
A compact template helps: company → period → metric → authorized source → requested action. For example, “Line Repairs / yesterday / new enquiries / CRM / report exceptions, read-only” or “North Café / last week / overdue tasks / internal task records / suggest priorities.” This improves management requests even before any AI tool is involved.
Activation: seeing a connector does not mean access is granted
AGENTUM may let prospective users explore the company workspace before activation. That does not mean a visible “Connect source” control automatically authorizes storing tokens or reading production documents. Connection workflows must check the company's activation status, the user's role and authority over the specific source.
Start with one tightly defined business question and a synthetic spreadsheet or a dedicated test folder. Identify the accountable source owner and give the minimum permission needed to answer the question. Check both successful read access and blocked access before introducing real client information. Avoid expanding a role simply because that makes a demonstration easier.
Do not paste passwords, long-lived credentials, API keys or full customer exports into Telegram messages. Use the designated connection and authorization flow. Where the company is not activated or the source owner has not approved access, stop and obtain the correct authorization rather than repeatedly attempting to bypass the setup restrictions.
Why two correct numbers can produce a wrong decision
Companies often use the same KPI label for different business events. “Revenue yesterday” may mean paid orders in a shop, issued invoices at a workshop or cash receipts at a venue. Define every important metric with its system of record, currency, reporting period, treatment of refunds and last successful update.
If the CRM reports 17 opportunities at 9 a.m. and a spreadsheet shows 15 as of the previous evening, asking AI for a reasonable average is the wrong solution. Present both numbers, timestamps and definitions, then ask a responsible owner to decide how they should be reconciled. A mismatch may be caused by timing rather than an inaccurate source.
Track the technical status of every company's integration separately. A working connection for organization A says nothing about B, whose authorization may have expired, or C, which has never activated its source. A partially successful answer must not imply that reporting for the entire group is reliable.
A recommendation, a proposed task and a confirmed write are different
“Assign somebody to this enquiry” is advice. “A draft assignment was prepared” means the system has created a proposal. “The task was written, and the target system confirmed the result” is an actual operation. Those three states should be visible to the user and recorded differently. Otherwise a business owner may rely on work that has never been completed.
For significant changes, display the company, target record, old and new values, requester and possible consequences. Ask for explicit confirmation when required. A read-only connection cannot be described as an update tool. If the connection breaks after a write request, first inspect the target system and idempotency status instead of blindly submitting the same modification twice.
Internal task management and external CRMs have different systems of record. AGENTUM must respect the actual supported operation and the authorization of the chosen source. Generic claims about AI “managing every business action” are not evidence that a specific update has been executed.
Negative tests: prove that records do not leak across companies
Create two test organizations with non-personal records. Put the unique entry “ALFA-017” in company A and “BETA-023” in B. From A's bot, request its own entry, then deliberately request “BETA-023.” The second request should be denied or return no authorized record, not silently run a cross-company search.
Repeat in the other direction, and with an employee account that belongs only to company A. Try a direct link to the other bot, a known record ID and a question in an old conversation after membership has been revoked. Verify that each new request still checks the current user, role and company on the server.
Finally disable an authorized source and repeat a formerly successful question. The assistant must not imply that it retrieved fresh rows. Save an anonymized test log: user role, organization, source, expected response, actual response and reviewer. Until these scenarios have passed, do not advertise every possible multi-company configuration as end-to-end verified.
Twelve checks before you manage several companies
Maintain a small acceptance sheet with a reviewer, organization, supporting evidence, date and PASS / REVISE / NOT CHECKED for every item. Any critical failure in isolation, membership or write authorization should block access to real business data until fixed.
Test restricted employee access as well as owner access. Successfully reading one's own records proves only the positive path, not protection from an unauthorized request or the consequences of a revoked role.
- Each company has its own working bot and Mini App context.
- The server checks company membership on each relevant request.
- Employee roles do not imply access to another organization.
- The owner can review and change granted roles.
- An inactive company cannot connect production sources without authorization.
- A different company's synthetic record never appears in the reply.
- Revoked membership stops subsequent access.
- Each business answer identifies its source, period and freshness.
- Unlike metrics are not added without a shared definition.
- Read-only mode is never presented as permission to modify data.
- The target system confirms any operation claimed to be completed.
- Every test result is documented without sensitive personal data.
Five frequent questions about running several companies
Should I create one bot for all my companies? No. AGENTUM's planned and deployed architecture uses a separate company bot and Mini App context. An owner may belong to several. Before promising the exact second-company onboarding journey, verify that route in the current live environment.
Can I request consolidated analytics? You may formulate the question, but a valid report needs explicit authorization to each source and consistent KPI definitions. Do not assume a universal cross-company dashboard is available to every account.
Is a link to another company's Mini App enough to access it? No. The backend should re-check the user and their rights to the target organization. Prove it with a real negative test against a restricted record rather than relying on the appearance of the screen.
Can I begin without a CRM? Yes. Explore the workspace, agree on roles and test a synthetic data sheet first. That is not the same as obtaining permission to connect production information.
Can AI automatically change another company's data? It must not do so without sufficient role permissions, authorized source functionality and required confirmation. A suggested action is not evidence of a successful write.
Conclusion: one owner, clearly separated responsibilities
A useful multi-company system is not built around a universal chat with unrestricted data. It is built around clear organizational boundaries: separate sources, KPI definitions, roles, contexts and independently checked actions. A single personal Telegram account only makes access to different workspaces more convenient.
Start with one organization and one measurable question. Produce an answer that can be repeated, verify the source and its freshness, and run the negative tests from a different company context. Only then extend the approach to other organizations and production data.
AGENTUM develops a Telegram bot and Mini App approach to business management with analysis from authorized sources. A credible promise to an owner is accountable decisions supported by verified information—not magically joining every CRM or guaranteeing execution of every instruction.
