AGENTUM / DELEGATION / OCTOBER 16, 2026

How to track employee tasks through Telegram without micromanagement

Strong oversight does not mean asking people for progress every hour. It means agreeing on what completion looks like, discovering exceptions early and making the decisions that really need a manager. Here is a realistic Telegram workflow, with verified AGENTUM features clearly separated from general management practices.

Clear outcomes → autonomy → accountability
Key takeaway

Manage outcomes, accountable owners and deadlines—not every action your teammates take. Telegram can help surface exceptions quickly, but judgment and responsibility remain with people.

Lead by outcomes, not by counting activity

“Work on our clients” is a poor assignment because it has no observable deliverable. A person may spend all day messaging customers, yet the owner still cannot tell which decision has become possible. Activity monitoring is the easiest path to micromanagement; agreeing on an outcome enables accountability.

Try this instead: “By 4 p.m., prepare a list of open leads without a scheduled follow-up. Show the owner, reason for delay and proposed next action.” The number of leads and deadline are merely examples. The employee chooses how to investigate; the manager reviews the deliverable and makes decisions.

Six elements of an actionable task

A good assignment names the activity, describes a tangible result, appoints one accountable owner, sets a realistic deadline, defines acceptance criteria and identifies dependencies. Several colleagues may contribute, but someone must be responsible for delivering the final item.

Link to the relevant authorized CRM record, file or spreadsheet when necessary. Never paste credentials or unnecessary personal data into chat. Before work begins, ask the person receiving the task to describe the expected outcome in their own words. That small alignment prevents much more expensive rework.

Example: customer requests with no next step

Imagine the owner of a small service company noticing that some customer conversations lack a planned follow-up. “Watch the sales team more closely” creates pressure but no concrete output. A better instruction is: “Maria, by Friday at 3 p.m., list open requests without a next appointment, including their last interaction, owner, next step and date.”

Add the operating boundary: “Do not edit customer statuses without approval. Send the list for my decision.” After that, the manager need not read Maria’s entire chat history. They need confidence that the task was accepted, the deadline is clear and the resulting list meets agreed criteria. The names and times are illustrative.

What AGENTUM actually does through Telegram

In a live-verified flow, a manager asks their company's Telegram Company Bot to create an internal task using natural language. AGENTUM prepares an action proposal and displays its exact content for review. Only after explicit confirmation of the permitted action is the task created. The assigned employee may receive a notification and view the assignment in Telegram Mini App.

Employee invitation, account pairing, assignment notifications and visibility in Mini App have also been tested. These capabilities do not mean the platform completes work automatically, silently edits external CRM records or continuously watches employees. Access checks are tenant-bound and enforced by the backend.

Give employees autonomy with meaningful updates

The employee should have one unambiguous assignment, not conflicting instructions scattered across channels. Once the outcome and permitted sources are clear, they are free to choose a working method within agreed boundaries. That is delegation, not merely transferring an endless reporting obligation.

A simple communication protocol covers accepted, blocked, decision needed and delivered for review. Hourly messages are unnecessary when risk is low. If progress statuses require manual updates, make that responsibility explicit; do not promise automated signals without a verified event source.

Escalate exceptions in a decision-ready format

“I am running late” leaves the manager to discover what went wrong. A useful exception report says what happened, why, the impact on time or customers, available options and which decision is required. For instance: “The source document is unavailable. Can we use the last approved copy or postpone the work?”

When spreadsheet figures differ from a CRM, never assume the most convenient number is correct. Verify the underlying source, refresh time and calculation definition, then assign someone to reconcile the discrepancy. AGENTUM business integrations are subject to controlled read permissions, not a promise of universal automatic data repair.

A short daily management review

A useful review answers four questions: what is due soon, what is overdue, what is blocked and what decision belongs to me? The goal is not to replay everyone's day. It is to resolve dependencies and choose priorities where intervention will materially improve the outcome.

Quality matters alongside timing. Ask whether the deliverable met its original acceptance criteria, needed rework or repeatedly hit the same obstacle. Teams can record these observations manually; they should not be presented as built-in AGENTUM automated analytics without evidence of that specific implementation.

Permissions, approval and the limits of AI

Telegram provides a convenient interface, not an exemption from security controls. AGENTUM pairs employees with a particular company and verifies server-side access to its tools and information. Do not share other tenants' records or unnecessary personal and financial details in tasks.

An AI suggestion is not the same as an executed operation. Creating an internal task involves confirmation of the specific proposed action, with the resulting record handled separately. An arbitrary “yes” should not authorize unrelated behavior. Do not claim universal surveillance, automatic rescheduling or synchronization with every CRM: the actual scope depends on verified implementation and permissions.

Checklist for the first delegation cycle

Start with one meaningful task. Verify that the outcome is measurable, one accountable owner is named, the deadline and acceptance criteria are clear, source data is authorized, dependencies are known and the employee understands when to ask for a decision.

With AGENTUM, inspect the proposed action before confirmation, check the task is actually created afterward and verify employee notification and Mini App visibility. Include a negative authorization test: another company's employee must not see this task. When work concludes, compare the deliverable to the criteria. Success means fewer needless messages and faster decisions, not more dashboard activity.

Test an assignment from delegation to acceptance

A hypothetical task: 'By Friday, resolve enquiries without an assigned next action.' First specify the source, exact completion criterion, deadline and one accountable person. Reading a message is not completed work. The verifiable result is an assigned follow-up and date for each enquiry.

Each AGENTUM company has its own Telegram bot and Mini App; activation and permissions govern which functions are available. Test within the intended company and employee role. Create a synthetic assignment without customer data, inspect the proposed action, and confirm it only when that capability is enabled. The employee should see the deadline and acceptance test, while the manager sees the consistent status.

A read-only CRM connection does not automatically update CRM records. Complete work in the authorized system and check it against the original source. Test missing staff access, a missed deadline and duplicate reports for one enquiry; agree on escalation before relying on automation.

Start with one real assignment

Agree on the outcome, owner and acceptance criteria. Check the exact action approval and employee notification within your own company.
